At Ray White Heidelberg our property management team is fully qualified and licensed, experienced and knowledgeable in the laws and procedures of property management which ensures all lessors that we will act in your best interests legally, financially and ethically at all times.

The following information is provided as a guide and to assist in the ongoing relationship you will develop with us, as your managing agent. 


Documentation:
As a standard part of our management service we will ensure that all documentation is prepared in accordance with current legislation. This may include the lease agreement, condition report and lodging the tenants bond with the RTBA. Our office keeps all records and maintains an ongoing and detailed property file during the tenancy.

Maintenance:
All maintenance reported to our office is recorded and then forwarded to you for further instructions or approval. Only in the event of urgent maintenance will we act on your behalf, providing we have your prior approval on the managing authority.

Insurance:
We strongly recommend that you have an adequate insurance policy to protect you from any resultant loss that may arise from a tenancy. There are many factors to consider such as property contents, building insurance, liability and loss of rent protection.
         
Payment of Rent:
As per the lease agreement the tenants are required to pay their rent monthly in advance. Once the rent has been cleared we can direct debit the funds into your nominated bank account. Once payment has been made we will automatically send a detailed statement of rent collected and any authorised expenditure.

Inspections:
Our property managers conduct regular general inspections of the properties. Our office will advise you in writing in advance with the date and the time of attendance. These inspections are beneficial to both parties as we can discuss the tenancy and also see if there is any preventative maintenance required.


Rental Reviews:
In accordance with the lease agreement and legislation we will review the rental return of your property and provide recommendations to you for your consideration. Reviews are conducted with the current market conditions at the time.

Rental Arrears:
At some time during the tenancy the rent may be paid late by the tenants for an unforseen reason. We suggest that you allow for this in your budgeting so it minimises any inconvenience to yourself. Our office strictly pursues late payments and takes full action should the need arise.

Tribunal:
Should the need arise to attend a hearing at the Victorian Civil and Administrative Tribunal you can be rest assured that we will represent you and act in your best interests.

Spare Keys:
It is recommended that you provide your agent with a full set of spare keys and also keep a set at home for yourself. It is necessary to have keys to facilitate inspections, arrange maintenance or just in case the tenants lock themselves out.

Privacy:
Please be aware that it is necessary to obtain approval from the tenants prior to entering the property. Without consent we will not enter. Tenants are entitled to their privacy and action can be taken against a landlord or agent that interferes with their rights unlawfully.

Communication:
Most of the problems experienced by tenants, landlords and Property Managers can be overcome by prompt and honest communication.  It is the tenant’s responsibility to keep the property clean and to meet their financial obligations; it is the landlord’s responsibility to see the property is maintained and to ensure the tenant has peaceful enjoyment; it is the Property Manager’s duty to oversee this process.  This can only be done with effective communication from all parties.
